Chapter 5: Visual Icons

If you look just below the menu bar you will see that there is a gray bar which contains little pictures approximately 1/4" square. The Grey bar is called the "Activity Bar", and the pictures are called "icons". These icons perform important functions in your voicemail software. Below is a description of the function of each icon.

Note: The first six icons from the left on the Activity Bar only become active after you have selected a box type to work with from the BOXES menu.

Going from left to right.......

The Delete Box Icon (Scissors)  scissors.bmp (1654 bytes)

The scissors icon brings up the Delete Box window which allows you to delete any box in your system, except for the last box of each box type. Although the system requires at least one box of each type, you are not required to use them.

The Delete Box Icon gives you the option of deleting one box or an entire range of boxes of the same type in a single step. When you click on the Delete Box Icon, the number of the box that is currently displayed will appear in the Lower Box and Upper Box fields. If you wish to delete only the currently active box you can leave this box number as it appears in the Lower Box and Upper Box fields. To delete a range of boxes, change the Lower Box and Upper Box fields to indicate the first and last box numbers of the range of boxes you want to delete.

The Lower Box

The Lower Box field indicates number of the box you wish to delete, or the lowest-numbered box in a range of boxes you wish to delete.

The Upper Box

The Upper Box field indicates the highest-numbered box of a range of boxes you wish to delete. If this field contains the same box number as the Lower Box field or is left blank, only the box indicated in the Lower Box field will be deleted.

Delete Directory Voice Files

The Delete Directory Voice Files check box within the Delete Box window allows you to specify whether or not all sound files associated with a particular box should be deleted. If you check this option, all voice files, including the box name and box greeting, will be deleted. If you do not select this option the box itself will be deleted, but the voice files which were associated with this particular box or range of boxes will remain. If you have greetings that you would like to preserve, do not select the Delete Directory Voice Files option when deleting boxes. If you check this option the system will warn you that you are about to delete all voice files associated with the box(es) being deleted, and you will be asked to confirm the deletion.

The Insert Box Icon (Page with Folded Corner) pagecorner.bmp (1654 bytes)

This icon allows you to insert (add) a box or range of boxes of the currently selected box type. The system will automatically enter the next available box number above the currently active box. Of course, you do not have to accept this new box number. You are free to use any box number between 0 and 999,999,999 that is not currently taken by another box.

The Lower Box

The Lower Box field indicates number of the box you wish to add, or the lowest-numbered box in a range of boxes you wish to add.

The Upper Box

The Upper Box field indicates the highest-numbered box of a range of boxes you wish to add. If this field contains the same box number as the Lower Box field or is left blank, only the box specified in the Lower Box field will be added.

Use Default Data

By selecting this option the new box you create will contain default data as defined by the system for this type of box. This is generally a good starting point, and you can always edit settings within a box after it is created.

Use Current Data

Select this option if you have set up a box in the system and you wish to duplicate its settings in the new box or range of boxes. For example, if you create a Mail Box and give it certain characteristics, you can use the Use Current Data option to copy these characteristics to subsequent Mail Boxes.

Note: When using this option be sure to first have the box active with the current data you would like to duplicate.

Edit Path for Box Messages

In this area the system will display the default path that has been established for storing box messages on your hard disk(s), or if you have edited the default path this field will show the current path. You may wish to establish a different path from the default if you want to store voice messages on a different hard drive from your system hard drive.

Once you have selected a box type to work with, such as Access Box or Mail Box, the arrow icons will allow you to move through all boxes of the selected type. The left-most arrow, which points to the left and has a line in front of it, will take you to the lowest-numbered box of the selected type. The second arrow, which points to the left, will take you to the next lower-numbered box from the box that is currently displayed. The third arrow, which points to the right, will take you to the next higher-numbered box of the selected type from the box that is currently displayed. The right-most arrow, which points to the right and has a line in front of it, will take you to the highest-numbered box of the selected type.

This icon accesses the Box Finder screen which allows you to locate a specific box or range of boxes by Box Number, Type, Name, Client, or Range.

To go to a specific box number, select Goto Box and enter the number of the box you are looking for, then click on Search and the box you are seeking will be listed in the display area.

If you select By Type, use the check boxes on the lower right side of the screen to select each of the box types that you would like to find. Then click on Search and all boxes of the selected type will be displayed. The Clear button at the bottom right of the screen will clear all box type check boxes, and if no boxes are selected it will select all of the choices.

If you select By Name you can enter the box name, or partial name, and after clicking on Search a list of boxes which match your entry will be displayed. The Type & Name option allows you to search for a particular box name, or partial name, and narrow your search to particular box types.

If you wish to search only for boxes which belong to a particular Client, check the Client option and enter a Client number. All other options will continue to function as described above.

IMPORTANT: If you are the only system supervisor using your system, you will be the only Client, and the default Client number is 0. Please note that the password for the Client Box will allow remote access to any box owned by the Client. It is important to make the Client password long and change it often. ANY BOX CAN BE ACCESSED REMOTELY WHEN THE CLIENT PASSWORD IS USED.

To narrow your search to a range of boxes, select Range and enter the lowest box number in your range on the left and the highest box number on the right.

You may use any combination of these options to limit your search so you can find just the box or boxes you desire. After defining your search selections don't forget to click on Search to initiate the search. After the list of selected boxes is displayed you can double-click on any box listed in the display to open up the selected box.

The Message Finder Icon (Arrow and Document)  messagefinder.bmp (1702 bytes)

The Message Finder Icon brings up the Message Finder screen which allows you to locate a specific box or a range of boxes by Box Number, Type, Name, Client, or Range. The basic difference between this Message Finder and the Box Finder is that the Message Finder limits the search to box types which could possibly contain messages or captured data.

If you select By Type, use the check boxes on the lower right side of the screen to select each of the box types that you would like to find. Then click on Search and all boxes of the selected type will be displayed. The Clear button at the bottom right of the screen will clear all box type check boxes, and if no boxes are selected it will select all of the choices.

Client Box 0 cannot be removed from the system. You can make addition Client Boxes, attach those to your other boxes, and never use Client Box, but you cannot delete it.

The Online Help Icon (Question Mark)  questionmark.bmp (1834 bytes)

The Online Help Icon provides you with quick access to the extensive online help system.

The Local Access Icon (Curved Arrow)  greenarrow.bmp (1890 bytes)

This icon gives you direct local access to your system and allows you to check your call routing just as if you had called in from a remote phone. When you are setting up, editing, or just checking your system locally you can use this button to hear how your system will sound to callers. To use local access pick up the telephone handset of the phone that is connected to your SoundSet and click on this icon. You will hear the greeting in the initial box assigned to the line your SoundSet is on. You can make selections from your touch-tone phone just as a caller would to verify that your call routing is working correctly. You should check each call path in your system using this local access feature.

Note: The first greeting you will hear will be the greeting for the box indicated in Switch window, which is accessed using the Switch command in the MAINTAIN menu. The default routing sends all phone lines to Access Box 10.

The Error Indicator Icon (Flashlight)  errorlight.bmp (1862 bytes)

The Error Status Indicator will light up under two different circumstances:

1. The system has dropped below the minimum hard drive space indicated in the "MinHardDrive" line in the [MAIN] section of the STPLUS.INI file.

2. The application encountered a problem when attempting to access a database file (*.db). If "ExitOnError" in the STPLUS.INI file is set to NO, the application will halt and display the error on the screen. If "ExitOnError" is set to YES and your AUTOEXEC.BAT file is set up to return the system to the voice application, the Error Indicator icon will be lit. A click on the flashlight will display the contents of the DBERR.TXT file, which is where database errors are logged. To determine if an error condition still exists, attempt to access the box indicated in the DBERR.TXT. (See Database Viewer info section.)
